Cancellation & Refund Policy

This policy explains how cancellations, schedule changes, refunds, and project credits are handled for custom photo editing and image organization services.
1. Custom service model
Photo editing services are prepared for specific client files, instructions, output requirements, and deadlines. Time may be reserved, files may be reviewed, and work may begin shortly after payment or written approval. Because the service is customized and digital, cancellation rights depend on the stage of the project when the request is received.
2. Before work begins
A client may request cancellation before substantive work begins. If no editing, detailed file review, project setup, scheduling commitment, transfer cost, or other billable preparation has occurred, amounts paid may be eligible for refund, less any nonrecoverable payment processing, bank, transfer, or platform charges where permitted by law.
A brief administrative review needed only to identify the payment and confirm the cancellation is not treated as substantive editing work.
3. After project preparation begins
Once files have been downloaded, organized, inspected, backed up for working use, tested, or assigned into a production schedule, part of the payment may have been earned. A cancellation at this stage may result in a partial refund calculated after deducting:
- completed file review and project setup;
- reserved production time that could not reasonably be reassigned;
- completed editing, proofs, exports, or organization work;
- approved third-party or transfer costs;
- nonrecoverable transaction charges where permitted.
4. After editing begins
When editing has started, the client is responsible for the value of work completed through the effective cancellation time. If completed work and reserved time equal or exceed the amount already paid, no refund is due. If less value has been earned, a partial refund or project credit may be offered after the project record is reviewed.
Work files, previews, or partial outputs may be delivered only when appropriate, technically usable, and covered by the amount retained. Unfinished internal working files are not automatically included.
5. Completed and delivered services
Payments for completed and delivered custom services are generally nonrefundable. A difference in subjective preference is handled through any included revision process rather than a refund, provided the delivery is materially consistent with the approved scope.
A refund is not normally available because the client later changes the intended use, supplies a different source file, decides not to publish or print the image, or experiences color differences caused by an uncalibrated display, third-party printer, paper, browser, platform compression, or device setting.
6. Material service errors
If a delivery contains an objective export error, missing agreed file, inaccessible delivery link, or material failure to follow the accepted scope, the client should report it promptly with the file name and description. The primary remedy is correction, replacement, or re-delivery within a reasonable period.
If a verified material problem cannot reasonably be corrected, an appropriate partial or full refund may be considered for the affected portion. This does not apply to limitations caused by the original file, undisclosed technical requirements, or changes requested after approval.
7. Revision requests are not cancellations
Reasonable adjustments within the included revision allowance should be submitted as revision requests. A client cannot convert used revision time into a refund. Requests for a new style, new source image, major reconstruction, additional files, or a substantially different result may require a new quote.
8. Missed client deadlines and inactivity
If the client does not provide required files, instructions, feedback, or approval by an agreed date, the project may be paused and rescheduled. Reserved rush fees or production time may be nonrefundable when the delay is caused by missing client materials.
A project that remains inactive for thirty calendar days after a written request for required information may be administratively closed. Restarting a closed project is subject to availability, current pricing, and confirmation that the files remain accessible.
9. Rush and priority scheduling
Rush or priority fees compensate for schedule changes and reserved capacity. They are generally nonrefundable once the priority slot has been reserved or work has begun, even if the client later changes the deadline. If we cancel the priority arrangement without providing the agreed priority service, the unused rush portion will be refunded or credited.
10. Cancellation by Pixelnest Photo
We may cancel or refuse a project involving unlawful content, suspected infringement, deception, abusive behavior, nonpayment, security concerns, or material mismatch with the offered services. If cancellation is not caused by client conduct and no work has been earned, prepaid unused amounts will be refunded. If cancellation follows a client breach, completed work, reserved time, and nonrecoverable costs remain payable.
11. Refund method and timing
Approved refunds are returned through the original payment method when reasonably available. Processing time depends on the payment provider, bank, card network, and jurisdiction. We cannot guarantee the date on which a provider posts the funds. Currency conversion differences, intermediary fees, and charges controlled by the client's provider are outside our control.
12. Chargebacks and payment disputes
Clients should contact us first with the project reference, payment date, and concern so the matter can be reviewed. Filing a chargeback for properly delivered custom work without first allowing a reasonable opportunity to address the issue may delay resolution and require submission of project records to the payment provider.
13. Mandatory legal rights
Nothing in this policy removes a refund, cancellation, or consumer right that cannot lawfully be waived. Where mandatory law provides a different result, that law controls.
