This Privacy Policy explains how Pixelnest Photo collects, uses, stores, and protects information received through this website and during the delivery of photo editing, image enhancement, portrait retouching, composition refinement, and photo collection organization services.
1. Scope of this policy
This policy applies to information submitted through website forms, project inquiries, service communications, file-transfer arrangements, invoices, and other direct interactions connected with our editing services. It does not govern third-party websites, file-transfer platforms, payment providers, or communication tools that maintain their own privacy practices.
2. Information we may collect
Contact and inquiry information
We may receive a name, email address, telephone number, business name, service selection, expected timeline, approximate image count, project description, and any other details voluntarily included in an inquiry.
Project files and instructions
When a project proceeds, we may receive photographs, image files, folders, file names, metadata, references, editing notes, requested output specifications, and feedback. Photographs may incidentally contain identifiable people, locations, objects, documents, or other visual information selected by the client.
Transaction and administrative information
We may maintain records relating to quotes, accepted scopes, invoices, payments, revisions, delivery dates, and client communications. Payment card or bank credentials are generally processed by the applicable payment provider and are not intended to be stored directly by this website.
Technical information
Depending on the Shopify theme, hosting configuration, and installed services, technical information such as browser type, device type, approximate location derived from an IP address, pages viewed, referring page, and interaction timing may be collected through standard logs or analytics tools.
3. How information is used
Information may be used to:
- review an inquiry and determine whether the requested work fits our services;
- prepare a quote, scope, schedule, or service recommendation;
- perform agreed photo editing and image organization work;
- communicate about files, instructions, revisions, approvals, and delivery;
- create administrative, accounting, and transaction records;
- maintain website security, diagnose technical problems, and prevent misuse;
- comply with lawful obligations and respond to valid legal requests;
- protect the rights, property, safety, and legitimate interests of clients and the business.
4. Legal and operational bases
Information is processed when it is needed to respond to a request, prepare or perform a service agreement, maintain legitimate business operations, satisfy recordkeeping duties, protect against fraud or misuse, or comply with applicable law. Where consent is the appropriate basis, the information is processed within the scope of the consent given.
5. Client photographs and sensitive content
Clients control which files they provide. Clients should avoid sending unnecessary identification records, financial records, medical records, private correspondence, access credentials, or other sensitive materials that are not required for the editing task. Files should not be submitted unless the client has the right and authority to provide them for editing.
We do not use client photographs for unrelated advertising, public portfolios, model training, resale, stock licensing, or public distribution unless the client provides separate, express permission for the specific use.
6. Service providers and disclosures
Information may be handled by providers that support website hosting, ecommerce administration, email, file transfer, cloud storage, security, accounting, and payment processing. These providers receive only the information reasonably necessary for their function and operate under their own terms and privacy practices.
Information may also be disclosed when reasonably necessary to comply with law, court process, regulatory requirements, a valid governmental request, or to investigate and prevent suspected fraud, abuse, security incidents, or violations of applicable terms.
We do not sell client contact information or client photographs to advertisers or data brokers.
7. Storage and retention
Inquiry records may be retained for a reasonable period to answer follow-up questions, document communications, maintain business records, and handle disputes. Project files may be retained temporarily during active work, review, revision, and delivery. Unless a longer period is agreed in writing or required for a specific operational reason, clients should maintain their own original and final backups.
Administrative records may be retained for the period reasonably needed for accounting, tax, legal, fraud-prevention, and contractual purposes. When information is no longer required, it may be deleted, anonymized, or securely disposed of according to practical and legal constraints.
8. Security
Reasonable administrative and technical measures are used to reduce unauthorized access, alteration, loss, or disclosure. No website, email system, cloud platform, storage device, or file-transfer method can be guaranteed to be completely secure. Clients should use an agreed secure transfer method for large or sensitive image collections and should not send account passwords through ordinary project messages.
9. Cookies and website technologies
The website platform or installed tools may use cookies, local storage, pixels, or similar technologies to maintain site functionality, remember preferences, measure performance, and support security. Browser settings may allow visitors to block or remove cookies, but doing so can affect website functionality. Any third-party analytics or platform cookies are governed by the relevant provider's practices.
10. Individual privacy requests
Subject to applicable law and reasonable verification, an individual may request information about personal data held in relation to them, ask for correction of inaccurate contact information, request deletion where no lawful retention reason applies, or object to certain uses. A request should clearly identify the information and the relationship to the relevant inquiry or project. Some records may need to be retained for legal, accounting, security, or dispute-resolution purposes.
11. Children's privacy
The services are intended for adults and business clients. The website is not designed to knowingly collect personal information directly from children. A parent or lawful guardian should manage any project involving photographs of a minor and confirm the right to provide those photographs for editing.
12. International processing
Website, communication, storage, or payment providers may process information in locations different from the visitor's or client's location. Where applicable, we use providers and operational arrangements intended to support reasonable protection of information across those locations.
