Service Delivery Policy

This policy describes how digital photo editing projects are scheduled, reviewed, exported, delivered, and considered complete.
1. Digital service delivery
All services are delivered remotely. No physical prints, storage devices, framed products, or photography sessions are included unless separately stated in a written project agreement. Deliverables generally consist of edited image files, organized digital folders, previews, or related project notes.
2. Requirements before scheduling
A project can be scheduled after the required source files, editing instructions, intended use, output requirements, contact information, and applicable payment have been received. If the client provides only samples, scheduling may remain provisional until the complete file set is available for review.
Source files should be provided through the agreed transfer method and should be clearly associated with the project. The client should identify preferred dimensions, aspect ratios, file types, print requirements, or platform specifications before editing begins.
3. Turnaround estimates
Turnaround estimates are based on the known file count, source quality, complexity, revision allowance, current workload, and requested output. The estimate begins when all required materials and payment conditions are satisfied, not when the initial inquiry is submitted.
An estimate may change if:
- the final file count is larger than described;
- source files are corrupted, inaccessible, heavily compressed, or materially different from samples;
- the client adds new edits, formats, or organization requirements;
- feedback, approvals, or replacement files are delayed;
- a third-party transfer, hosting, or payment service becomes unavailable;
- an event outside reasonable control interrupts normal operations.
4. Proofs and review files
When a project includes a review stage, proofs may be lower resolution, watermarked, compressed, or otherwise prepared for approval rather than final use. Proofs are not final deliverables and should not be printed, published, distributed, or used as production files unless expressly authorized.
The client should review proofs on a suitable display and provide consolidated notes that identify the relevant file and requested adjustment. Delayed or fragmented feedback may extend the schedule.
5. Revision delivery
Included revisions are delivered according to the project scope. Revision timing begins after complete feedback is received. A request that changes the creative direction, replaces source files, adds images, or requires a new output specification may be treated as additional work rather than an included revision.
6. Final file formats
Final formats are selected according to the agreed purpose and the practical limits of the source file. Deliverables may include JPEG, PNG, TIFF, or another specifically agreed format. Unless expressly included, layered working files, editing history, application catalogs, masks, adjustment data, proprietary project files, or internal process files are not delivered.
Color profiles, compression, resolution, and dimensions may be adapted for web, print, archive, or client-specified use. Exact appearance can vary across screens, browsers, platforms, printers, papers, inks, and lighting conditions.
7. Delivery method
Delivery may occur through a secure download link, approved cloud folder, platform attachment, or another agreed digital method. The client is responsible for using a compatible device, maintaining internet access, and downloading files before the stated link expiration date.
We may divide a large project into multiple folders or deliveries for practical transfer, review, or organization. A transfer notification does not guarantee successful receipt if the client supplied an incorrect address or if the client's provider blocks the message.
8. Client review after final delivery
The client should inspect the final delivery promptly. Unless a different period is stated, objective delivery problems should be reported within seven calendar days. Reports should identify missing files, inaccessible links, damaged exports, or material deviations from the approved scope.
We will reasonably attempt to correct confirmed delivery errors. Requests made after the review period may be subject to file availability, project reopening, current pricing, and a new schedule.
9. Download and backup responsibility
The client is responsible for downloading, verifying, and backing up final files. Delivery links may expire, and cloud folders may be removed after a reasonable period. Pixelnest Photo is not a permanent archive or backup service.
Original files should remain in the client's possession throughout the project. The client should maintain at least one independent backup of source and final materials.
10. File retention
Working and final files may be retained temporarily to support review, revisions, and re-delivery. No specific retention period is promised unless confirmed in writing. Files may be deleted after project completion, account closure, storage maintenance, or the end of a practical support period.
Long-term archiving, recurring storage, or future retrieval must be arranged separately and may involve additional terms or charges.
11. Delivery delays caused by the client
If the client delays instructions, payment, file transfer, feedback, or approval, the original production slot may no longer be available. The project may be moved to the next reasonable opening. A deadline dependent on client action cannot be guaranteed after the relevant action is late.
12. Third-party platform limitations
Delivery and display may depend on third-party tools. Compression, automated resizing, file conversion, metadata removal, preview generation, download limits, or access restrictions imposed by those tools are outside our direct control. Where practical, we will help identify an alternative transfer method, but we are not responsible for a third-party platform's independent operation.
13. Completion of service
A project is considered complete when the agreed final files have been made available through the approved delivery method and any included revision obligations have been satisfied. Administrative closure does not transfer responsibility for permanent storage to Pixelnest Photo.
